The Process

How claims work at Optiom.

Every Optiom claim follows the same four steps. The specific documents you’ll need depend on which product you’re claiming under — that’s what the next section is for.

1

Contact Optiom

Call us as soon as you have a loss — and always before you purchase a replacement vehicle. We’ll confirm what your policy covers and open your claim file.

2

Receive Your Claims Package

We’ll email you an acknowledgment along with the documents and forms specific to your claim type.

3

Submit Your Documents

Send us what we’ve asked for — requirements vary by product. Our team reviews and follows up if anything’s missing.

4

We Coordinate Your Benefit

Depending on your policy, that’s a payout, deductible reimbursement, rental extension, or vehicle replacement credit.

Skip the paperwork for now. Call our claims team and we'll walk you through exactly what you need for your specific policy — before you take another step.

Step 1

Choose your product.

Each Optiom product has its own claims path. Pick the coverage you’re claiming under to see the exact documents you’ll need and the fastest way to file.

Vehicle Replacement

Total loss on a vehicle covered by your Optiom VRI policy.

Guaranteed Asset Protection

Total loss on a financed or leased vehicle covered by Optiom GAP.

Mechanical Breakdown

A covered mechanical failure once your manufacturer warranty has expired.

Tire & Rim

Tire or rim damage from a pothole or covered road hazard.

Appearance Protection

Appearance Protection claims are handled by your originating dealership.

Step 2

Have these documents ready.

Every Optiom claim starts with the same basics. Gathering these before you call speeds up your review — typically 3–5 business days once your file is complete.

Benefits Request Form

Your signed form listing policy number, date and type of loss, described vehicle, and primary insurer claim details. We’ll email this to you when we open your file.

Banking Details for EFT

A void cheque or pre-authorized debit form so we can deposit your benefit directly to your account. Faster than waiting for a mailed cheque.

Primary Insurer Documents

A copy of your settlement cheque, your coverage and rate class documents as of the date of loss, and your adjuster’s name and contact info.

Vehicle & Loss Details

VIN, odometer at time of loss, original bill of sale, and — if applicable — a police report or file number.

After you submit

What happens next.

Once your file is complete, most reviews are done within 3–5 business days. Here’s the flow from submission to payment.

Day 1

We confirm receipt

Email submissions are reviewed in the order received. We’ll confirm what’s arrived and flag anything still missing.

Days 3–5

Review & payout letter

Once your file is complete, allow 3–5 business days for review. If approved, you’ll get a payout letter detailing your benefit.

After approval

Payment issued

Depending on your product, that’s a deductible reimbursement, rental extension, or vehicle replacement credit at your dealership — via EFT wherever possible.

Frequently Asked

Questions we hear most.

Answers to the questions clients ask most often when filing a claim. Have something specific? Call us at 1-844-427-7587.

As soon as possible — and always before you purchase a replacement vehicle. Contacting us early lets us confirm what your policy covers and open your claim file. Note that we can’t finalize your Optiom benefit until your primary insurer has settled and declared the vehicle a total loss. Under the Limitations Act, you have up to two years from the date of loss to report and settle, but the sooner you file, the more of your benefit you’re likely to receive.

Call us as soon as you have a loss so we can confirm what your policy covers and open your file. We can’t finalize your Optiom benefit until your primary insurer has settled and declared the vehicle a total loss — but calling us early is important because Optiom only responds to a true total loss (not a negotiated settlement or salvage agreement where the vehicle isn’t officially written off). Most importantly: contact us before you purchase your replacement vehicle so you don’t miss out on your benefit.

If your policy includes Deductible Reimbursement, you’ll be reimbursed directly for the deductible you paid to your primary insurer, up to a maximum of $500. Submit a copy of your settlement cheque along with your Benefits Request Form and we’ll process it as part of your claim.
If your policy includes Rental Vehicle Reimbursement, coverage begins the day your primary insurer’s rental benefit ends. It continues until your replacement vehicle is purchased or you reach the benefit limit, whichever comes first. You can also use it for taxis, rideshare, or public transit if you keep receipts. Fuel, insurance add-ons, maintenance, and warranties aren’t covered.
We recommend Electronic Funds Transfer (EFT) — it’s the fastest way to get your benefit. Send us a void cheque or pre-authorized debit form with your Benefits Request Form and we’ll deposit directly to your account. Cheques by mail are also available if you prefer.
Yes. Our client care team supports Punjabi, Hindi, Mandarin, and Cantonese. Let us know your preferred language when you call and we’ll connect you with the right specialist.
No — automobile policies typically don’t cover personal property inside a vehicle, and Optiom doesn’t either. Contact your home or tenant insurer to ask about coverage for items lost or damaged inside your car.
